Position Overview: We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will have experience in property management, bookkeeping, and social media content creation, demonstrating the ability to manage a variety of tasks efficiently and effectively.
Key Responsibilities: Administrative Support:
Manage executive calendars, including scheduling appointments, meetings, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle incoming communications, including emails and phone calls, and prioritize them for executive review.
Organize and maintain files and records, both physical and digital.
Property Management:
Oversee the day-to-day operations of residential and commercial properties.
Coordinate maintenance and repairs, ensuring timely resolution of issues.
Take detailed photographs and curate comprehensive client reports on property for insurance purposes.
Manage client relationships, including contract agreements, call out requests, and addressing inquiries.
Identify reports with any potential risks or hazards that could affect the insurance coverage of the property.
Coordinate with maintenance teams or contractors to address any issues found during inspections.
Maintain accurate records of all inspections, reports, and communications related to each property.
Bookkeeping:
Maintain accurate financial records for the company and managed properties.
Process accounts payable and receivable, ensuring timely payments and invoicing.
Reconcile bank statements and manage cash flow.
Assist with budgeting and financial planning, providing regular financial reports to the executive team.
Prepare and file tax documents and ensure compliance with all financial regulations.
Social Media Content Creation:
Develop and implement social media strategies to enhance company visibility and engagement.
Create, curate, and manage content across various social media platforms (e.g., Facebook, Instagram, Twitter, LinkedIn).
Monitor and respond to social media interactions, fostering positive engagement with followers.
Analyze social media metrics and adjust strategies to improve performance.
Collaborate with the marketing team to ensure brand consistency and alignment with company goals.
Qualifications:
Proven experience as an executive assistant, property manager, and bookkeeper.
Strong proficiency in Microsoft Office Suite and accounting software (QuickBooks).
Experience with social media platforms and content creation tools.
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Attention to detail and problem-solving abilities.
Ability to handle confidential information with discretion.
Knowledge of property management regulations and best practices.
Familiarity with financial reporting and tax regulations.
